Privacy policy

This policy explains in clear terms which data is processed when you browse the website, contact the farm or use the administration area.

Enquiries sent to the farm

The general contact form and animal enquiry forms may collect your name, email address, an optional telephone number, the reason for and content of your message, your preferred contact method, the language used and, where relevant, the animal concerned.

This information is used solely to understand your enquiry, reply to you, follow up the conversation and, where it concerns an animal offered by the farm, take the steps you request before entering into a possible contract.

Processing is based on the pre-contractual steps you request or, for other messages, on the farm’s legitimate interest in answering enquiries and following up its contacts.

Security and administration

Limited technical data is used to protect forms and the administration area against misuse: timestamps, temporary counters, protected fingerprints derived from IP address and browser data, session identifiers and minimal technical events. It is not used for profiling or advertising.

The administration area also stores the names and email addresses of authorised accounts and the operations required to manage listings and enquiries.

Retention periods

  • Enquiries and related internal notes are retained for twelve months and then removed by scheduled maintenance.
  • Form protection counters are temporary and are cleared after their fifteen-minute window.
  • An administration session expires after no more than eight hours; expired or revoked sessions are deleted.
  • Administrator accounts are kept for as long as they remain necessary and authorised.
  • Copies held in email accounts or backups follow the retention and rotation rules of those services.

Recipients and service providers

Enquiries can be accessed by the farm and authorised administrators. Where necessary, they may also be processed by:

  • EWCS — Robert Heinen, for maintenance and technical support;
  • Hostinger International Limited, for hosting the website, database and backups;
  • the email provider configured by the farm, for sending notifications and replies;
  • Google, only when you choose to display the map.

Data is not sold or used for direct marketing without a separate, explicit choice.

Your rights

Under the conditions set out in the GDPR, you may request access to, correction or deletion of your data, restriction of processing, object to certain processing and, where applicable, receive your data in a portable format.

To exercise your rights, write to info@highland-chodes.be. Reasonable proof of identity may be requested. You may also lodge a complaint with the Belgian Data Protection Authority.

Automated decisions and updates

No decision with legal effect is made automatically from your data. This policy will be updated before any new audience measurement tool or other significant processing is introduced.
